How Erasmus+ KA1 funding pays for teacher training courses abroad

Our training courses for teachers and education staff are designed to be fully funded by Erasmus+ Key Action 1 (KA1). Staff from schools, adult education and vocational education and training (VET) can receive a grant for travel, accommodation, meals and the course fee. Below you’ll find the answers to the questions organisations ask us most about Erasmus+ funding.

What is Erasmus+ KA1?

Erasmus+ is the European Union programme for education, training, youth and sport for 2021-2027. Its Key Action 1 (KA1) funds learning mobility: for teachers, headteachers, trainers and other education staff, that means a structured training course, job shadowing or a teaching assignment in another European country.

The grant goes to the organisation, which applies and then sends its staff abroad. There are two ways to get it:

  • Accredited organisations request a budget every year with a simplified application (KA121). See how the Erasmus+ accreditation works.
  • Organisations without an accreditation apply for a short-term mobility project (KA122), written in full and scored by experts.

Both exist for school education (KA121-SCH, KA122-SCH), adult education (KA121-ADU, KA122-ADU) and VET (KA121-VET, KA122-VET). Higher education staff take part through KA131.

Who can get Erasmus+ KA1 funding?

Organisations that can apply

Schools from pre-primary to upper secondary, adult education organisations and VET providers. Depending on your country, adult education can include cultural associations, non-profit organisations and any organisation providing formal or non-formal education to adults.

People who can travel

Teachers, headteachers, school leaders, trainers, adult educators, counsellors, administrative and other non-teaching staff: anyone working for the organisation, as long as the training serves its needs.

Not sure your organisation is eligible as a sending organisation? Your Erasmus+ National Agency has the final word for your country.

Which costs does the Erasmus+ grant cover?

The KA1 grant covers travel, subsistence (accommodation and meals) and the course fee. It’s made of unit costs: fixed amounts per person, per day or per distance band, so you don’t justify each receipt, you prove the activity took place. Six budget items can apply to a training course:

Travel

A fixed amount per person for the return journey, based on the distance from your city to the course city. It’s higher if you travel green (train, bus, car-sharing).

Individual support

A daily amount for accommodation, meals and local costs during the course, plus the travel days. It depends on the destination country.

Course fees

A daily amount per participant for the training course itself.

Organisational support

A fixed amount per participant for the sending organisation: preparation, monitoring and follow-up of the mobility.

Inclusion support

Extra funding for participants with fewer opportunities and for their accompanying persons, case by case.

Exceptional costs

Real costs for visas, residence permits, vaccinations or very expensive travel, if your National Agency approves them.

Fully funded in practice. The grant gives fixed amounts, not a refund of real costs. If you entrust us with the practical arrangements, we make sure the course, the hotel and the meals fit within it.

How much is the Erasmus+ KA1 grant for a training course?

The same rates apply to staff in school education, adult education and VET. The amounts depend on the length of the course, the destination country and the distance you travel.

What are the rules for Erasmus+ training courses?

  • 2 to 10 days of course abroad, not counting travel days. Online parts can be added, but the limits apply to the time abroad.
  • One course per person in each project.
  • Up to 3 people from the same organisation can be funded to attend the same course together (up to 10 from the same mobility consortium).
  • Courses and training can use up to half of the project grant; for projects of up to €40,000, the limit is €20,000. Inclusion support doesn’t count towards it.
  • The course takes place abroad, in a country taking part in Erasmus+.

What are the steps to apply for Erasmus+ funding?

For a short-term project (KA122) the path takes five steps. Accredited organisations follow the same logic, with a lighter yearly request.

  1. Read the guide

Read the KA1 sections of the Erasmus+ Programme Guide for your field.

  2. Register your organisation

Get an Organisation ID (OID) in the Commission’s registration system, if you don’t have one.

  3. Plan

Describe your needs and objectives, then choose courses that match them. You can book before approval. We send programmes and details

  4. Apply

Fill in the KA122 application form carefully and submit it by the annual deadline.

  5. After approval

Sign the grant agreement, confirm your places and prepare your participants.

How experts score an application: our page on the Erasmus+ Guide for Experts. There’s usually one KA1 deadline a year, early in the year: if you miss it, you wait for the next call.

Can you support us in the Erasmus+ KA1 application?

Yes. The application is yours to write, and we give you everything you need about the training part:

  • Detailed information on each course: the daily programme, the learning outcomes and how they match your needs
  • Information about our organisation and our experience: we hold an Erasmus+ accreditation, we’re accredited by the Italian Ministry of Education for teacher training, and we’ve worked on 200+ Erasmus+ KA1 projects
  • Free guides to the award criteria for KA122 and the Erasmus accreditation
  • A place on the course before your project is approved, with free cancellation if it isn’t

The earlier you contact us, the more we can help. Get in touch with our team.

Our organisation already has Erasmus+ funding: can we attend your courses?

Yes. If your organisation has already received the grant, you can attend our training courses. Choose a course that matches the learning needs described in your application and let us know as soon as possible, so we can reserve your place.

FAQ

More questions about Erasmus+ KA1 funding

Does the Erasmus+ grant cover all the costs of a training course abroad?
The grant is made of fixed amounts per person, per day and per distance, so it doesn’t refund real costs one by one. In most cases it covers travel, accommodation, meals and the course fee. Our courses are designed to be fully funded by it: tell us your country and city and we’ll show you how.
Can a teacher apply for Erasmus+ funding individually?
No. Under Key Action 1 the organisation applies and then selects the staff who travel. If your school isn’t applying yet, share this page with your headteacher or your Erasmus+ coordinator.
Can non-teaching staff and school leaders get Erasmus+ funding?
Yes. Headteachers, coordinators, administrative and other non-teaching staff can take part in training courses, as long as the course serves the needs of the project.
Can adult education and VET staff attend your courses?
Yes. Adult education and VET organisations apply in their own field (KA121/KA122-ADU or -VET) with the same rates. Several of our courses are designed for adult educators and trainers: see our Erasmus+ staff training courses.
How many days of individual support should we request?
The course days plus the travel days: up to 2 if you fly, up to 6 if you travel green. For a 5-day course with a flight, that’s usually 7 days. Check your National Agency’s rules before you submit.
Can several colleagues attend the same course?
Yes, up to 3 people from the same organisation on the same course (up to 10 from the same mobility consortium). Larger groups can split across different courses or dates.
Is green travel worth it?
Green travel (train, bus, car-sharing) gets a higher travel amount and up to 6 travel days of individual support instead of 2. It takes longer, so plan it with your colleagues.
Can accompanying persons be funded?
Yes. Accompanying persons, for example for participants with fewer opportunities, are funded at the staff rates, and inclusion support can cover extra costs if your National Agency approves them.
Can we book a course before our project is approved?
Yes. With us you can pre-book while you wait, and if the project isn’t approved you cancel for free. See our cancellation policy.
What documents do we get after the course?
A certificate of attendance that follows the Erasmus+ quality standards, our part of the documents your National Agency asks for, and help with Europass if you want it. More in how we work with coordinators.
Where can I find more information about Erasmus+ funding?
